Domain Renewal and Expiry Policy
1. Purpose of this policy
This policy explains how domain-name renewals, expiry reminders, non-renewal,
suspension, recovery and cancellation are handled for domain names registered or
managed through Coleswood Media Ltd under the Cheap Web Hosting UK trading name.
Domain rules and expiry periods vary between extensions and may be changed by the
applicable registry. Customers should renew before the stated expiry date and
should not rely on any post-expiry grace or recovery period.
2. Renewal prices
Current registration, transfer and renewal prices are published on our
Domain Names page.
The applicable renewal price will also be shown on the renewal invoice or in the
client area before payment.
Renewal prices may differ from initial registration or promotional prices and may
change where registry, supplier, currency, tax or administrative costs change.
Additional restoration or redemption charges may apply after expiry for some
domain extensions. Any applicable charge will be disclosed before we process the
requested recovery.
3. Renewal notices
We send domain expiry and renewal notices electronically to the email address
registered on the customer's account and, where appropriate or required, to the
Registrant contact recorded for the domain.
For .uk domains, our reminder process is to notify the Registrant:
- Approximately one month before the expiry date;
- Approximately one week before the expiry date;
- At expiry or within five days after expiry if the domain has not been renewed.
We may send additional invoice, payment-failure, overdue or expiry notices. An
invoice or reminder may be issued earlier than the dates above, but issuing an
invoice does not itself renew the domain.
Notices are normally sent by email. Important notices may also appear in the
client area or be sent by another reasonable electronic method. The applicable
registry, including Nominet for .uk domains, may also send notices directly to the
Registrant.
If the Registrant changes during the month before a .uk domain expires, we will
notify the new Registrant of the expiry date where required.
4. Your responsibilities
The customer and Registrant are responsible for:
- Keeping account and Registrant contact details complete and current;
- Monitoring the registered email address, including spam and junk folders;
- Checking the domain expiry date in the client area or registry record;
- Ensuring that renewal instructions and cleared payment reach us in time;
- Keeping any automatic payment method valid and adequately funded;
- Contacting us promptly if a renewal confirmation is not received.
Renewal notices are provided as part of our service, but failure to receive or act
upon a reminder does not remove the Registrant's responsibility to renew before
expiry.
5. How to renew
A domain can normally be renewed by paying its renewal invoice through the
client area.
Where no invoice is available, contact us before the expiry date.
A renewal is complete only when:
- We have received cleared payment;
- The domain remains eligible for renewal;
- The renewal instruction has been accepted by the registry or upstream registrar;
- The new expiry date has been confirmed in our system or by us.
Payment alone does not guarantee renewal if it is received too late, the domain is
subject to a dispute or restriction, the registry rejects the instruction, or the
domain has already entered a non-recoverable stage.
6. Automatic renewal
A domain will renew automatically only where automatic renewal is enabled for the
service, a valid payment method or sufficient account credit is available, payment
succeeds and the domain remains eligible for renewal.
A failed, expired or declined payment method may prevent renewal. Customers should
not assume that automatic renewal has succeeded until the client area or a written
confirmation shows the new expiry date.
7. Choosing not to renew
To allow a domain to expire, disable automatic renewal where available or contact
us before the renewal is processed. Cancelling hosting does not automatically
cancel or prevent renewal of a separately registered domain name.
For a .uk domain, we may record an instruction that renewal is not required.
Nominet may notify the Registrant that this instruction has been recorded. The
domain will then proceed through the normal expiry process unless it is renewed or
transferred before the applicable deadline.
Once a renewal has been submitted to and charged by a registry or supplier, it may
not be possible to cancel it or issue a refund.
8. What happens when a domain expires
When a domain expires, its website, email and DNS services may stop working
immediately or after a registry grace period. The exact process depends on the
domain extension and registry.
During a grace or redemption period, renewal or restoration may still be possible,
but it is not guaranteed. Additional restoration fees may apply. Once the final
registry deadline has passed, the domain may be deleted and made available for
registration by another person.
Important: Continuing hosting or email payments do not renew an
expired domain. Likewise, renewing a domain does not automatically reactivate a
separately suspended or cancelled hosting service.
9. Current .uk expiry process
Under Nominet's current .uk expiry process, a domain that has not been renewed
normally remains operational for the first 30 days after its exact expiry time.
It can still be renewed during this period.
From approximately 30 days after expiry, the domain is normally suspended and
stops resolving, so associated websites and email services cease to work. It can
ordinarily still be renewed until the end of the 90th day after its exact expiry
time.
After 90 days, renewal is no longer available and the domain enters a final
pending-delete period. It is normally released for re-registration at the exact
scheduled drop time approximately 95 days after expiry.
These periods are controlled by Nominet and may change. A Registrant should always
renew before expiry rather than relying on the post-expiry renewal window.
10. Nominet communications
Where a .uk domain has not been renewed, Nominet may send its own expiry,
suspension and cancellation notices directly to the Registrant using the contact
details recorded for the domain.
Receiving a Nominet notice does not mean that the domain can be renewed after the
applicable registry deadline. The Registrant should contact us and make payment as
soon as possible.
11. Changes to the .uk lifecycle
Nominet has announced that a revised .uk Registry-Registrar Agreement and domain
lifecycle will take effect when its new registry platform launches, currently
scheduled for 9 February 2027.
After that transition, grace periods and registry procedures will differ from the
current process described in section 9. We will apply the registry rules in force
at the relevant time and update this policy where necessary. Customers should
continue to renew before expiry and should not rely on a particular post-expiry
period.
12. Other domain extensions
Generic and country-code extensions other than .uk have their own expiry,
auto-renewal, redemption and deletion rules. Some domains may stop working
immediately at expiry, some may incur substantial redemption fees and some may
not be recoverable at all.
Contact us before expiry if you need confirmation of the procedure for a
particular extension. Information supplied is subject to the rules and decisions
of the applicable registry and upstream registrar.
13. Transfers near or after expiry
A domain transfer is subject to registry rules, security checks, any applicable
transfer lock and sufficient time for completion. Beginning a transfer does not
extend the expiry date and does not guarantee that it will complete before expiry
or deletion.
Customers should request transfers well before expiry. Where permitted, an
expired .uk domain may still be transferred during the period in which it remains
renewable, but restrictions such as a data-quality lock, dispute or court order
may prevent transfer.
14. Recovery and restoration charges
Where a registry or upstream registrar charges an additional redemption,
restoration or recovery fee after expiry, the customer must pay that fee and the
renewal charge before we attempt recovery.
Payment of a recovery charge does not guarantee success. If recovery fails and
the registry or supplier has not charged us, we will refund the relevant recovery
payment. We cannot compensate for the value of a domain that is not recovered.
15. Domains registered with hosting
A domain and hosting package are separate Services even where purchased together.
Expiry, cancellation or transfer of one does not automatically cancel, renew or
transfer the other.
If a domain expires, hosting content may remain on the server for the period
allowed under the hosting agreement, but the website and email will not operate
normally without an active domain and working DNS.
